Minutes of the PNTF Board Meeting of May 19, 2008

In the absence of President Patti Petesch, Vice President Char Engelhardt called the meeting to order in the Board Room of the Seattle Parks and Recreation Headquarters Building at 7:03 p.m. Those present were: Char Engelhardt, Gwen Robertson, Lawrie Robertson, Bob Bowman, Neal Stoddard, Stan Chraminski, Tom Cotner, Kenny Emerick, Bob Springer, Paul Merca, Becca Gillespy, and Bob Langenbach.

  1. EXECUTIVE REPORTS
    1. Minutes: The minutes of the April 21, 2008 Board Meeting were approved as published on the PNTF web site. Note: The minutes for the last several years are posted on the PNTF web site, www.pntf.org.
    2. Treasurer's Report: Gwen Robertson handed out her report as of May 15, 2008. Her only comment was that a misplaced $75 check had been deposited almost a year late into the General Officials Fund. It was returned, account closed, with a $5 NSF charge. The report was approved unanimously. The totals as of May 15, 2008 were Youth - $16,884.18; Open - $7,530.30; Open Chairman's Fund -- $4,056.00; Masters - $8,984.18; General (officials) - $1,104.52; Fred Dean Youth Travel Fund -- $7,021.92; and General - $18,646.10.
    3. President's Report: President Petesch was not present, but VP Char Engelhardt said she had talked to her and Patti told her that PNTF needs to get our counsel, Bill Hickman, to help with a modification of PNTF's grievance procedure in our Bylaws.
    4. Vice President's Report: Char Engelhardt mentioned that the JO Meet conflicts with the Olympic Trials to be held in Eugene.
    5. Membership Report: Janell Kaufman submitted her first report of the year. Youth - 437; Open - 195; Masters - 316; and 38 Clubs.
    6. Office Manager: Carole Langenbach was not present.
  2. OLD BUSINESS
    1. Fred Dean Youth Travel Fund: Asha Dean was not present, but Kenny Emerick said that the Fred Dean Memorial Golf Tournament and Dinner went very well. A substantial amount of money was raised.
    2. Hytek Organizational License: Kenny Emerick said he had not talked to the Youth Committee yet about converting to an Organizational License. At present, the Masters Committee has the Seattle Masters AC plus the PNTF Masters. Kenny suggests that the Youth License be converted, as it has the most bells and whistles. Lawrie Robertson suggested that the yearly license fee be pro-rated among the Committees (Youth, Open, Masters).
    3. Reimbursement to PNTF from USATF for Association Workshop: Patti told Bob Langenbach that when she returned to work she would re-submit the bills (which are at work) to Sherry Quack again.
    4. West Seattle: Jim Fields had e-mailed Bob Langenbach that he wants to be on the committee writing a letter from PNTF to Seattle Parks and Recreation urging them to retain West Seattle Stadium and T&F Facility, rather than selling it to a private school. Doris Heritage had also e-mailed Bob requesting to be on the committee. Becca Gillespy again mentioned she had recommended Lance Giles for the committee. Following these announcements, there was lots of discussion of the value of West Seattle Stadium and it being retained by Seattle Parks and Rec.
    5. Golf Course Cross Country: Bob Springer talked about the background of PNTF and Andy Soden (Manager of all Seattle Public Golf Courses) being at Lake Spanaway Golf Course when PNTF hosted the World Cross Country Trials. Bob recommended Jefferson GC which had been investigated for the World XC Trials, as being quite suitable for a USATF Cross Country Championship, and suggested USATF Club Nationals in 2011. Patti had previously appointed Bill Roe, Darlene Hickman, Doris Heritage, Bob Springer, and Bob Langenbach to be on the committee.
  3. NEW BUSINESS
    1. New PNTF Membership Chair: Janell Kaufman has announced she will be resigning the position at the end of this membership year. Char Engelhardt said we will need to advertise this position. How should we do that, in addition to posting an advertisement for it on the PNTF Web site? The position requires good computer skills to manage the membership data base. Bob Langenbach said he would ask Janell and also Andy Martin (USATF National Office) to submit a job description to have with the advertised position. The board agreed that PNTF should aim to select the new chair by the September Annual Meeting. Since there will be no July PNTF Board Meeting, the advertising and interviews must be done before the September meeting.
  4. COMMITTEE REPORTS
    1. Youth: Asha Dean was not present, but Char pleaded for people to help at the JO's on June 21-22 at the SW Complex and the combined events in Yelm on June 29th. The older Youth age groups will have their combined events on May 31 and June 1 at Lake Stevens.
    2. Open: TTom Cotner said the PNTF T&F Championships were held at the Ken Shannon/Ken Foreman Meet. It was not well advertised as the PNTF Championships. There was discussion on when and where it should be held, but no conclusions. The Washington State 12k Championships were held at Bloomsday, with Sarna Becker and Joe Gray the champs. The Beat The Bridge 8k champs were Mike Sayenko and Linn Schulte-Sasse.
      1. a) MUT: Scott McCoubry was not present.
    3. Masters: George Mathews was not present.
      1. Results: Neal Stoddard reported that Karen Steen and Rick Wilhelm were the Masters winners at the Beat The Bridge 8k.
      2. Events: Neal reported the second PNTF Road Championship will be the Fremont 5k on June 6th.
    4. RaceWalk: Stan Chraminski thanked those for helping at the NW Regional 10k on April 26th. Upcoming events are Race Walks at the Seattle parks meet on June 7th, the Seattle Classic (NW Masters Regional Championship) July 19th, at the Senior Games in Olympia on July 26th, and at the USATF National Masters Championship August 7-10 at Spokane Falls Community College.
    5. Officials:
      1. PNTFOA: Neal Stoddard said there was no meeting in May. Both Geof and Pete Newing are having hip replacements.
      2. Certification and Training: Lawrie Robertson said he is working with Darlene Hickman to prepare the required training for PNTF's officials for the new Olympiad that will begin after the Olympic Games. It is planned to have the training sessions in September. He said that PNTF has handed out over 250 training CDs world wide.
    6. Web Site: Webmaster Becca Gillespy said it is up to date, having just added the JO material and the PNTF minutes.
    7. Associations Committee: Bill Roe was not present. He has been spending most of his time in Indianapolis.
    8. USATF BoD: Bill Roe was not present.
      Bob Bowman asked to bring up the Pacific Association problems with USATF. They are bringing a grievance and a lawsuit against USATF for awarding the 2012 Olympic Trials and USATF Championships to Eugene without a formal bid. He also said that Pacific Association is charging there were ethics violations. There was a lot of discussion of this following his reporting on it.


The next PNTF Board Meeting is June 16th at the Parks and Recreation Building. There will be no July Board Meeting.
